Information you provide
The project enquiry form asks for your name, email, locality or region, business name, services of interest and project goal. You may also provide a phone number, existing website, business type, timing, budget or scope context, and existing tools or constraints. Please do not include passwords or sensitive customer information.
Your choice
Providing enquiry information is voluntary. The required fields must be completed to send the online form; optional fields can be left blank. You can instead email your project enquiry to [email protected].
How we handle enquiries
Enquiries are stored in our WordPress website using Fluent Forms and reviewed by the MAI SOLUTIONS owner/operator. A notification is sent to our operator mailbox and a transactional receipt acknowledgement is sent to the email address you provide. Website email is delivered through Amazon SES. The acknowledgement confirms receipt of the enquiry, not a response time or an agreed project.
Technical information
The form and website systems may also record technical information such as the submitting page, submission time, IP address and browser or device details for operating the website, handling enquiries and limiting abuse.
Marketing and connected systems
Sending an enquiry does not subscribe you to marketing or enrol you in a CRM. The enquiry form does not pass your details into marketing or external workflow integrations.
Retention
We generally retain project-enquiry information in our active systems for up to 90 days, unless it is needed for an active business or client relationship. Backup copies may remain for the applicable backup-retention period and are used only for recovery. We review retention manually; deletion is not automatic. Copies may also exist in notification emails and delivery logs. These copies need to be considered when we manage retention.
Access, correction and concerns
You can ask for access to the personal information we hold about you, request a correction, or raise a privacy concern by emailing [email protected]. We may ask for information to confirm your identity before providing personal information.
MAI Solutions Operations and Google user data
MAI Solutions Operations is the application identity of MAI Solutions Limited for authorised internal business record management, synchronisation, reporting and document handling. The current Google synchronisation is not yet live.
Google information and its purpose
The integration is designed to read and update designated Google Sheets business records and to create private Google Drive recovery snapshots. It also checks destination permissions and retrieves snapshots for recovery verification. The designated Google files are currently accessible only to the authorised owner. These chosen destinations do not, by themselves, restrict the permissions granted through Google authorisation.
Business records may include descriptions, classifications, reference links, commercial record details, source identifiers, timestamps and reconciliation information. The saved application configuration requests Google Sheets access (spreadsheets) and app-associated Drive file access (drive.file). Sheets access can permit reading, creating, editing and deleting spreadsheets available to the consenting account; it is broader than the designated workbook used by the integration. Drive file access covers files created by or explicitly opened or shared with this app, rather than general access to all Drive files. The current synchroniser does not configure deletion or sharing changes. Actual permissions granted by Google remain pending personal consent; access to the existing recovery resources still needs operational verification.
Processing, storage and service providers
Source information is processed through privately operated automation infrastructure before authorised records are written to Google. Google processes the Sheets records and Drive snapshots. Infrastructure and support service providers may also process information needed to operate and assess the integration. Selected commissioning information has been processed through an AI-assisted support service. The current integration has no external AI API request step; this does not mean that no information has ever been processed by an AI service.
Saving of execution data for the current integration is disabled. Other temporary processing copies, infrastructure logs, caches and backup copies have not been fully assessed. We cannot currently promise that these copies do not exist or that their deletion is immediate.
Retention and deletion
Historical Google Drive recovery snapshots are currently preserved. There is no automatic snapshot-expiry or deletion mechanism, and no fixed retention period has been established for these application records. The website-enquiry retention period above does not apply to Google application records or recovery snapshots.
Our manual review and deletion policy is: the responsible operator will assess retained records and snapshots when information is replaced, the integration is retired, or a privacy request is received; identify continuing business and recovery needs; and arrange authorised removal of copies no longer required. Decisions and any unresolved copies will be recorded. This is a manual policy, not an automatic mechanism; it introduces no fixed deletion period or guaranteed deletion deadline.
Access and security
The inspected Google destinations are private and owner-only, and the inspected application endpoints use HTTPS. These observations do not establish that every infrastructure security control, backup or service provider has been independently audited.
Removing Google authorisation
You can review or remove the application’s access through your Google Account connections. Removing authorisation prevents subsequent authorised access using that grant; it does not automatically delete existing Google Sheets records, Drive snapshots or other retained copies. Deletion needs a separate review and action.
Privacy requests
For MAI Solutions Operations privacy questions, access or correction requests, or a request to review retained copies, email [email protected]. This mailbox receives messages and is monitored. We may need information to confirm your identity and identify the relevant records before taking action.
